Theatre Screen Improvements – Coming September 2026!

We have made a number of enhancements to the Theatre Screen to improve performance and better support a wider range of theatre workflows, including overnight and long-stay facilities.

Improved Performance

We have made a number of enhancements to improve speed and overall performance, providing a smoother experience when viewing and recording theatre information.

Additional Date Fields

A date is now displayed alongside each Theatre Time, allowing facilities to accurately record procedures that continue across midnight.
FYDO will automatically populate the date when times are entered, to ensure no additional work is required by staff, with users able to adjust the date when required.
This ensures every theatre time is accurately reflected on the date it occurred for each stage of the patient’s journey.

Multiple Theatre Visits and Recovery Times

The Theatre Screen now provides greater flexibility for patients who have multiple visits to theatre within the same admission, including the ability to accurately record the associated recovery times for each visit.

Enhanced Other Services

The Other Services section has also been enhanced, allowing additional information to be recorded and providing facilities with greater flexibility in documenting information like the prothesis expiry date if required.

These improvements provide a faster, more flexible Theatre Screen that better supports the workflows of both day and overnight facilities.

Theatre Roster – Monthly View Improvements

FYDO has made a number of improvements to the Monthly View to make it more user-friendly and easier to navigate, based on the information you need to see.

One of the biggest changes is that theatre numbers are now displayed directly on each session card. This removes the need to remember which colour corresponds to each theatre, making it quicker and easier to identify sessions at a glance.

We have also introduced Compact and Comfortable viewing options.

The Compact View condenses the information into a single line and hides additional details, allowing you to see more sessions on the screen at once.

The Comfortable View is the main viewing option and displays all available information, making it easier to see the full details of each session.

The Filter section has also been improved, with more options available to help you hide or display specific information in the Monthly View.

The Only Show Available Sessions option is particularly useful when booking a doctor in, as it allows you to view only the sessions that are currently available. You can also hide unused sessions by selecting Hide unused sessions less than (mins). For example, if a theatre is open from 6:00am to 6:00pm but the theatre list only runs from 8:00am to 5:00pm, you can use this filter to hide the unused sessions outside of your required hours.

There are also options to show or show and/or hide specific ranges of information, such as weekends, specific theatres, and other session details, giving you greater control over what is displayed.

FYDO has also introduced a setting that allows you to set default preferences for these Monthly View options. You can find this under System Configuration > Heading: Theatre Roster Default. This allows you to choose which filters and viewing options are automatically applied when opening the Monthly View.

At the moment, the default is set to show everything, but you can customise these settings to suit your facility’s preferences and the information you need to view.

There is also the ability to modify the theatre session number to make it easier to identify each theatre.You can do this by going to Settings > Theatre Data > Select a Theatre > Display ID.

The Display ID allows you to enter up to 3 characters, which can be letters and/or numbers. For example, you could use T1, T2, or OR1 to represent each theatre.

These are some significant changes to the Monthly View, and we encourage you to take some time to test out the new features and settings.

Your feedback would be greatly appreciated, as it will help ensure the Monthly View continues to be user-friendly and meets your facility’s needs.

Updating Health Fund Group

When updating the DRG Version for a Head of Fund under Settings > Health Fund, the change will now automatically update the DRG for all health funds listed under that Head of Fund.

For example, if the AHSA DRG is changed from 8.0 to 11.0, the change will automatically be applied to all funds under AHSA, such as AUH, CBH, etc. This means you no longer need to manually update the DRG for each individual health fund.

Billing Status Report Enhancement

The Billing Status Report has been improved to enhance performance, including faster processing and loading times, while all existing data, filters, and functionality remain unchanged.




FYDO Clinic Update – 27/08/2026

New User Group Permissions

FYDO has now introduced three new permissions in Settings > User Groups, allowing you to control access by setting each permission to Deny, Read, or Read/Write.

The three new permissions are:

  • Webhooks
  • Accommodation Category
  • API

These permissions are defaulted to Deny and will need to be manually updated where required. Only users with the appropriate permissions to manage User Groups will be able to make these changes.

SMS Template Improvement

FYDO has now introduced an improvement to SMS formatting, allowing line breaks and spacing included within SMS templates to be retained when the message is received by the patient.

This new functionality ensures that SMS messages are displayed in the same clear and easy-to-read format as they appear within FYDO, making longer messages and important patient instructions easier to understand.

Custom View – New Field Addition

FYDO has added a new “Items” field for use with your custom views on the appointment screen.

The field displays the item number saved against each appointment, allowing you to view this information at a glance without opening the appointment details.

If an appointment has multiple items, they will be separated by commas. Simply hover over the field to view all associated items.

FYDO Clinic Update – 20/08/2026

Patient Search Addition

FYDO now allows you to search for patients using their Membership Number. To utilise this new search option, simply enter MEM: followed by the patient’s membership number into the search bar.

New Tokens

FYDO has introduced several new tokens:

  • Patient’s Middle Name – These tokens will display the patient’s middle initial and the patient’s full middle name. These tokens can be located in our Wiki under Tokens – Patient.

FYDO Hospital Update – 20/08/2026

Patient Search Addition

FYDO now allows you to search for patients using their Membership Number. To utilise this new search option, simply enter MEM: followed by the patient’s membership number into the search bar.

Overnight Banding Update

FYDO has introduced updated logic for DVA Per Diem Overnight invoices. When creating an invoice for a Per Diem Overnight charge, FYDO will now determine the accommodation charge based on the highest-priority patient class/accommodation, rather than using the banding as the primary factor.

The Patient Class/Accommodation now takes priority over the banding, ensuring that the correct accommodation rate is selected when generating the invoice.

Cancer Registry for Northern Territory

FYDO has introduced the Northern Territory Health Cancer Registry screen, designed to support cancer registry data entry for Northern Territory facilities.

We’re pleased to let you know that FYDO will support exporting this data file, using the same process as the other end-of-month data extracts.

This update means that reporting to the NT Cancer Registry will be a seamless and efficient process for our Northern Territory hospitals.

New Tokens

FYDO has introduced several new tokens:

  • Tomorrow’s Date – There are two new tokens that will display tomorrow’s date and tomorrow’s day, based on the current system date. These can be located in our Wiki under Tokens – Hospital > Episode Appointment Details.

  • Theatre Roster – These tokens will only pull the information from the Theatre Roster (not the Theatre Screen). These tokens can be located in our Wiki under Tokens – Hospital > Theatre Roster.

  • Patient’s Middle Name – These tokens will display the patient’s middle initial and the patient’s full middle name. These tokens can be located in our Wiki under Tokens – Patient.

  • HPI-O and Doctor’s HPI – This token will display the organisations HPI-O number and the Doctor’s HPI number. These tokens can be located in our Wiki under Tokens – Hospital.

Bed Occupancy Report Improvement

FYDO has implemented a refreshed design for the Bed Occupancy Report. This new design delivers improved performance, including faster processing and loading times, while all existing data, filters, and functionality remain unchanged.

Incomplete Report Enhancement

FYDO has added a new column to the Incomplete Report for the Doctor Speciality.

This additional column makes it easier to identify the treating doctor’s speciality directly within the report, providing greater visibility when reviewing incomplete episodes and outstanding information.

MHR Improvement

FYDO will now prompt you when changing a patient’s MHR Consent Status, asking whether you would like to apply the change to all episodes for that patient.

This provides greater control when updating consent and helps ensure the change is applied consistently across the patient’s episodes when required.

Patient Alerts Change

To avoid confusion with the Patient Alerts located within the Patient Details Screen, Preadmit Patient Alerts will now be relabelled as Patient Flags.

This change is intended to make the distinction between the two features clearer and help users easily identify the correct information when working within FYDO.

In addition, amendments to Patient Flags will now be displayed in the Audit Logs. The audit log can be accessed by navigating to Settings > Logs. This allows users to review the history and changes associated with Patient Flags, providing greater visibility and traceability when managing patient information.




FYDO Hospital Update – 07/08/2026

API Security Changes

FYDO is enhancing security around API usage. The authentication model is changing from Legacy API Keys to a HMAC (Hash-Based Message Authentication Code) model.

There will be a 2-month grace period where the Legacy API Key model will be supported, while hospital API Integrators work towards transitioning to the HMAC method of authentication.

IMPORTANT — From 8 October 2026, only HMAC-authenticated API calls will be accepted. Any calls using Legacy API Keys will fail from this date.

A guide on HMAC integration will be advised shortly in a follow up email to all Facilities identified as having API Users.

New Appointment Alerts

FYDO has introduced three new options in System Configuration to help ensure doctor compliance during appointment creation and editing:

  • Appointment Creation / Edit – Alert when Credentialling Expired
  • Appointment Creation / Edit – Alert when Indemnity Insurance Expired
  • Appointment Creation / Edit – Alert when AHPRA Expired

These alerts were previously only available within the Theatre Roster. They have now been extended to the Appointment Creation/Edit screen to provide an additional layer of validation. This helps maintain compliance and reduces the risk of appointments being scheduled with practitioners whose credentials are no longer valid.

An example of the alert is shown below.

Please Note: These options are disabled by default. If you would like to use these alerts, you will need to enable the relevant tick boxes in System Configuration.

Reports Improvement

FYDO has introduced two new filter options for the Invoice Export Report. Users can now generate the report using either Admission Date or Discharge Date.

This enhancement makes it much easier to report on episodes within a specific period, regardless of when the invoice was raised or the payment was received. For example, if an episode was admitted in January but the payment was not received until six months later, it will still be included when filtering by the Admission Date or Discharge Date.

All Data Extract updates have been implemented for the 1st of July requirements.

Additions to Audit Logs

FYDO has introduced additional audit logs for item numbers under Settings > Logs. This enhancement allows users to track changes made in Settings > Items, such as Eclipse Code Mapping enabling/disabling or when Theatre Banding has been modified

Theatre Roster Tokens

The Theatre Staff tokens, that originally only pulled information from the patients Theatre Screen, will now populate from the Theatre Roster information prior to the patient’s admission. This enables Theatre Lists to populate and print this data before procedures commence. These fields include: Scrub Nurse, Scout Nurse, Other Nurse, Surgical Assistant, Other Surgical, and Other Staff.

Waitlist Enhancement

Users are now required to enter a reason when deleting a patient from the Waitlist. This enhancement has been introduced to provide greater visibility into why patients are removed from the Waitlist, helping to ensure accurate record keeping and greater accountability within the system. Phase 2 of this development will be to add this information to reports.

Custom View Addition

Users can now add the episodic My Health Record (MHR) Consent Status to their Custom Views. This information is sourced from the consent recorded on the individual booking itself, rather than the consent displayed on the Patient Details screen, as consent may differ between episodes.

New Food Instructions

FYDO has introduced a new Food Instructions option within Settings, allowing you to create a list of predefined dietary requirements for inpatients, such as Pureed, Liquidised, and other specific meal instructions.

These predefined options will automatically populate as a drop-down list within the Edit Appointment screen, while still allowing users to free-type additional instructions if required. After selecting a predefined option, you can also add further information to provide more detailed dietary requirements.

A new permission has also been added under Settings > User Groups (Setting Hospital) for Food Instructions. This permission will default to Read/Write (RW) for existing users.

HC21 Signed Tickbox

The HC21 Signed process has been enhanced to further streamline patient admissions and reduce the need for manual data entry.

When a patient completes and submits their HC21 form through Preadmit, the HC21 Signed checkbox will now be automatically selected within FYDO. This automation ensures the system accurately reflects that the required form has been completed, eliminating the need for staff to manually update the patient’s record.

Appointment Report Improvement

The Appointment Report has been enhanced with the addition of two new columns in the Excel – Raw Data export: Estimated Discharge and Estimated Length of Stay. These can be located in column:

  • Estimated Discharge: AS
  • Estimated Length of Stay: AT

These new fields provide greater visibility into each patient’s expected admission duration and anticipated discharge date, making it easier to monitor patient stays, assist with planning, and support reporting requirements.

Email Set Up required for Documents & Invoices

This new feature allows FYDO to securely send emails directly through your Microsoft 365 (Outlook) account, offering improved reliability, security, and better alignment with your organisation’s IT policies.

To continue sending emails from FYDO Documents & Accounts, you will need to verify the email address you wish to send from in your FYDO profile. Please follow our setup guide to complete this process.

In addition, FYDO now supports customised email footers, including the option to add your company logo. Facilities can set up a universal footer for all users, or individual users can create their own personalised footer.

Report Holding Bay

FYDO now has the capability to receive endoscopy reports directly back from Endobase through the Report Holding Bay. This integration allows reports to be transferred more efficiently into the system, improving workflow processes and ensuring important documentation is more easily accessible and managed within FYDO.

Checklist Addition

FYDO has now introduced an additional checklist field for HC21 Signed. This enhancement has been implemented to improve workflow efficiency and provide clearer visibility over the completion status of important documentation, ensuring greater accuracy and compliance in your processes. For our customers utilising the Digital IFC feature and sending HC21s to patients to sign, the next part of this development piece will see the box automatically tick when the HC21 is signed and received from Preadmit.
